We’re looking for people who are determined to make life better for people around the world.Required Qualifications should include:Bachelor’s degree with a minimum of 7-8 years’ experience supporting Senior ManagementDemonstrated executive, operations, office administrative experience in a fast-paced corporate environmentComplex calendaring experienceHands on experience in office management systems, ERPs and Microsoft Office, including Word, Excel and PowerPoint presentationExperience in supporting a Senior Leader’s office in a global organizationStrong interpersonal, verbal (phone and in-person) and written communication skillsAbility to handle confidential information and demonstrating the highest levels of integrity, discretion and judgement alwaysStrong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly while maintaining commitment to deadlinesAttention to detail with strong problem-solving and troubleshooting skillsAbility to respond to situations and requests with appropriate urgency while maintaining a calm demeanourJob Responsibilities include (but are not limited to):Calendar Management – Completes a broad variety of administrative tasks for the leader including managing an extremely active and complex calendar of appointmentsStakeholder Management – Liaise with global stakeholders across multiple time zones for meetings/projects /eventsExecutive Support – Scheduling and implementing Leadership Rhythm of the Business (ROB) including staff meetings, team events and off-sites by coordinating meeting agenda, minutes, material preparation and logisticsTravel Planning – Providing end-to-end domestic and international travel planning, including proactive scheduling of external partner meetings in line with scheduled business travel to maximise schedule efficiencyLiaising with the Chief of Staff to leader to provide seamless operations support of function-wide initiatives/engagementsCompleting expense reports and working with all support functions across LCCI as and when neededPlanning and ensuring the leader’s schedule is followed and respectedProviding “gatekeeper” and “gateway” support, creating win-win situations for direct access to the leader’s time and officeWorking closely and effectively with the leader to keep him/her well informed of upcoming commitments and responsibilities, following up appropriatelyAbility to collaborate and effectively communicate across a wide range of people and job functionsPrioritizing conflicting needs by handling matters expeditiously, proactively and following-through on projects to successful completion, often with deadline pressuresExcellent attention to detail with an ability to manage multiple time sensitive prioritiesHelping drive completion of key deliverables and following up on outstanding action itemsSpace management in hybrid working modelProject management as neededAny ad hoc administrative tasks as and when required Additional responsibilitiesPartner with Ethics & Compliance to support manage all initiatives and programs as and when neededPartner with communications team and provide support needed for all site-wide activities and eventsWork with various functional leaders for new hire onboardingEli Lilly and Company, Lilly USA, LLC and our wholly owned subsidiaries (collectively “Lilly”) are committed to help individuals with disabilities to participate in the workforce and ensure equal opportunity to compete for jobs.
