The People Services team are looking for someone to join their team on a 14 month secondment which will be an excellent opportunity for someone to learn new skills and gain wider AECOM experience.

Our key responsibility is to provide a high level of support to our business for a range of key employee lifecycle processes, including job changes, promotions, hours changes, and family friendly policies managed within Workday. A key part of the role is to ensure self-service and business engagement is encouraged and supported to ensure Workday, Service Now and the Manila Service Centre are fully utilised, and we are consistently delivering a quality service.

Key Responsibilities

Offer functional support to system users
Partner with the business to assist and provide guidance and support to build knowledge of Workday and to support self-service and the timely system processing of transactions
Input complex changes on employee data to HR system (Workday), ensuring accuracy and compliance with legislation, audit and employee contractual terms and conditions.
Undertake comprehensive audit of employee transactions prior to completion of the Workday people Services approval step within Workday. Resolve any issues before approval is submitted and provide manager support where required.
Maintain updated E-file system for employees and upload documents to the files as necessary.
Production and tracking of HR correspondence related to an employee’s lifecycle.
Manage cases within the case management system (Service Now), ensure customers are informed and queries raised are responded to in a confident, informed, and timely manner. Ensure SLAs are met, and customer satisfaction surveys reflect that People Services provides a high-quality level of service
Monitor a smooth, accurate and timely flow of HR information to key stakeholders such as our Payroll and Finance teams
Undertake all immigration tasks as required to be able to ensure compliance to legislation. This includes, but is not limited to, Visa applications, renewals, Right to Work and input into external systems
Ensure adherence to audit and regulatory requirements both internal and external (GDPR and SOX) ensuring the Company is compliant and risks are mitigated
Maintain & build on People Services’ reputation for providing a quality administrative service

Minimum Requirements

A team player with excellent administrative, organisational and time management skills, with the ability to manage several tasks simultaneously whilst paying attention to detail to ensure high accuracy levels.
Possesses exceptional customer care and communication skills to communicate with all levels of employees including the leadership team
Pro-active and helpful, with a can-do attitude, along with a friendly, positive and professional approach
Ability to consistently deliver excellent customer service
An intuitive, analytical, and pro-active approach to day-to-day work practices
Ability to identify and drive continuous improvement opportunities
A keen eye for detail and ability to demonstrate initiative.
Experience of working to, and consistently meeting challenging deadlines
Computer literate
Good literacy and numeracy skills with a confidence to work with numbers and data

Preferred Qualifications

Experience of or understanding of Workday
Experience of working with case management systems
